Updating resource mailboxes for daylight saving time

The following procedure describes the steps that an Exchange administrator can use to update calendars in resource mailboxes for compliance with the daylight saving time (DST) changes in effect as of January 1, 2007. This procedure requires the Exchange Calendar Update Tool from the following Microsoft Knowledge Base article:

  1. Make sure that Auto Accept Agent is running on the Exchange server. For detailed information about the operation and management of Auto Accept Agent, visit Auto Accept Agent Deployment and Administration Guide.


  2. Install the DST updates for the client operating system. For detailed information about the latest DST updates for Windows operating systems, see the following article:

  3. Follow the guidelines in the "What to do before you run the Exchange tool" section of the following Microsoft Knowledge Base article:

      Note Per the guidelines in article 941018, it is important that the client machine which will be used to run the Exchange Calendar Update tool has been updated correctly. For more information on installing the appropriate updates, click the following article number to view the article in the Microsoft Knowledge Base article:

  4. Install and run the Exchange Calendar Update Tool (msextmzcfg.exe).


  5. On the "Specify Resource and Conference Room Calendars" page, type or paste the list of aliases of conference rooms in your organization. Click Resolve to validate the aliases, and then click Next.


  6. On the "Resolve Time Zones for Resource and Conference Room Calendars" page, the tool prompts you to manually specify the time zone for a conference room if the conference room does not have a time zone. Do this, and then click Next.


  7. A reminder page is displayed to remind you that the tool is about to update calendars. Click Next.


  8. Notice that a status bar, a link to the output log, and a real-time display of the output of the tool are displayed. Click Next.


  9. If errors are encountered, a link to the troubleshooting document is displayed at the bottom of Microsoft Knowledge Base article:

  10. Verify that the Auto Accept Agent is running again. The Auto Accept Agent must be running for users to receive acceptance messages for updates to the meetings they have organized.


  11. After the resource mailboxes have been updated, then run the Exchange Calendar Update Tool or the Outlook Time Zone Data Update against all other mailboxes. This includes those mailboxes that were used to organize meetings with a resource mailbox.

Updating resource mailboxes that contain directly booked resources

The following procedure describes the steps that an Exchange administrator can use to update calendars in resource mailboxes that contain resources that were directly booked. This procedure requires the Exchange Calendar Update Tool from the following Microsoft Knowledge Base article:

  1. Follow the guidelines in the "What to do before you run the Exchange tool" section of the following Microsoft Knowledge Base article:

  8. Run the Exchange Calendar Update Tool or the Outlook Time Zone Data Update tool again without this option against all other mailboxes.


  9. Note Meetings might become Tentative in the resource mailbox if Outlook is used to log on to the resource mailbox after rebasing has occurred.

In this procedure, resource mailboxes receive updated meeting requests, but user mailboxes will not receive meeting requests.

Note If the option to reject conflicts is enabled, after rebasing all mailboxes, even when meetings in resource mailboxes are labeled as Tentative, the Auto Accept Agent will reject the conflicting direct booking attempt.
